Job Description

We are assisting a well-established civil litigation law firm seeking an experienced Legal Secretary to provide administrative and case support to a team of attorneys. This role is ideal for someone who thrives in a fast-paced legal environment, is highly organized, and enjoys being an essential part of a collaborative team.

The successful candidate will support attorneys with daily administrative responsibilities, legal document preparation, case management, and client communications while helping maintain the efficiency and reliability of office operations. Experience with dictation transcription is required.


Key Responsibilities

  • Provide administrative support to one or more attorneys.
  • Communicate professionally with clients, witnesses, attorneys, court personnel, and other legal professionals.
  • Greet visitors and assist with client intake and screening.
  • Conduct legal, statistical, and documentary research as assigned.
  • Prepare, revise, and file legal documents, including motions, pleadings, petitions, and other litigation-related filings.
  • Maintain and update case files and records within the firm's case management systems.
  • Answer and route incoming calls, take messages, and respond to inquiries as appropriate.
  • Maintain and update contact databases and related records.
  • Manage attorney calendars, schedule meetings and deadlines, and provide timely reminders regarding upcoming obligations.
  • Transcribe attorney dictation accurately and efficiently.

Qualifications

Required

  • Proven experience as a Legal Secretary in a litigation environment.
  • Experience with dictation transcription.
  • Knowledge of legal terminology, court procedures, and litigation practices.
  • Proficiency with Microsoft Office applications.
  • Experience using legal technology, including electronic court-filing platforms, transcription software, dictation tools, and related systems.
  • Excellent typing, organization, and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and deadlines effectively.
  • Professional communication and interpersonal skills.

Preferred

  • Experience with litigation management or case management software.
  • Prior experience supporting civil litigation attorneys.
